Integrations & data flow
Everything in Siteflow Pro is connected through the job. This page shows how, and how to send that data to the rest of your tools.
How the pieces connect
Client ──► Job ──► Estimate ──► Invoice ──► Payments ──► Paid
│ │ │ │ │
│ │ └ line items ┴ PDF / email └ cash, bank, card, check
│ ├ tasks, photos, timer, updates (crew)
│ └ history timeline (who changed what, when)
└ lifetime value, job listChanges in one place show up everywhere: recording a payment updates the invoice, the job status, the pipeline stage, the dashboard cash flow, the client’s outstanding balance and the data sent to your integrations.
Sending data out (webhooks)
Admins add webhooks under More → Integrations. Siteflow Pro then posts signed JSON to your URL when a client is created, a job changes or completes, an estimate is scheduled, a report is submitted, or an invoice is created, sent or paid. Start with the Webhooks & integrations reference, which includes step-by-step setup, payloads, signature verification and platform guides for GoHighLevel, Zapier, Make, n8n, Google Sheets and Slack or Discord.
Fewer, cleaner events
job.updated rather than one per keystroke. Payments you record keep amount_received, payment_status and invoice_status consistent in the same event.Receiving data from other platforms
Siteflow Pro does not have a public inbound API yet, so other tools cannot create or update jobs, clients or invoices directly. To combine data:
- Use Zapier, Make or n8n to receive Siteflow events and create or update records in your CRM, spreadsheet or chat.
- Create leads in Siteflow Pro from the app (Clients or Pipeline). When a lead is created it is pushed out to your CRM through
client.created.
Notifications
Admins are notified when a worker submits an inspection report or job completion, posts an issue or question, or when a job is paid. Workers are notified about assignments, admin replies and crew payments. The in-app inbox is under More → Notifications and refreshes when you open or return to the app.
From version 1.0.13 the same notifications can also arrive as push notifications on your phone, even when the app is closed. The app asks for permission the first time you tap Turn on on the dashboard card; you can switch push on or off any time under Settings → Notifications → Push notifications. Tapping a notification opens the job or report, and the app icon shows how many are unread. If you declined the system permission, turn it on in your phone’s Settings → Siteflow Pro → Notifications. Push is optional: everything still appears in the inbox without it.
