Crew & payments
Admins manage the business. Workers get a focused view of the jobs assigned to them.
Invite a worker
- Open More → Workers and tap Invite worker.
- Enter their name and email. Choose Send invite email (they open the link, set a password and are placed in your business automatically) or Create with a password (you set a temporary password and they can sign in right away).
- The worker installs the app and signs in with the invited email address. Workers never sign up publicly.
You can disable or remove a worker at any time. A disabled worker is signed out of your data immediately.
Assign jobs and tasks
Assign one or more workers on the job screen, or assign individual tasks. Workers are notified when a job is assigned to them.
What workers can and cannot do
| Workers can | Workers cannot |
|---|---|
| See only jobs assigned to them, with their tasks and photos. | See other jobs, other clients, invoices, reports of the whole business, or integrations. |
| Tick tasks, run the timer, add photos, post updates, submit inspection reports and job completion, confirm the start date. | Edit estimate, invoice, payment or client details, reassign jobs or mark a job Paid. |
| Read admin replies and notifications about their jobs. | Change their own role or move to another business. |
Track crew pay
On a job’s Finance tab or in More → Worker Payments, add what each worker is owed (an hourly rate with hours worked, or a fixed amount) and record what you paid. Siteflow Pro works out total earned, amount paid, pending and whether the worker is unpaid, partially paid or paid. Workers are notified when you record a payment for them.
Worker pay vs client payments
Crew pay is tracked separately from client invoices. It feeds into your profit figures, not into what a client owes.
